AI receptionist in Houston

An AI receptionist that picks up when your team can't.

When everyone is with a client, the phone rings out and the caller tries the next business on the list. An AI receptionist answers calls and texts day and night with answers you approve, takes the caller's details, books open slots where your booking software allows it, and hands everything else to your team.

What it answers

What the AI receptionist handles for you.

You choose what it handles and approve every answer, and you hear it before it goes live.

  • Common questions

Hours, location and parking, the services you offer, how to prepare for a visit and your cancellation policy, in the words you approve.

  • Booking requests

Books an open slot where your booking software allows a connection. Where it does not, it takes the details and sends your team a booking request to confirm.

  • Reschedules and cancellations

Takes the request, offers another time where it can, and makes sure your team sees the change.

  • Missed calls

A call that rings out gets a text back right away, so the caller has a way to reach you before they call someone else.

  • After-hours messages

Evening and weekend callers get a reply instead of a voicemail box, and your team starts the day with a clear list.

  • Caller details

Name, number, what they called about and how they prefer to be reached, passed to your team in one place.

What goes to your staff

What it always hands to a person.

It is there to take the repetitive load off your front desk, not to replace the people your clients trust.

  • Every medical question, including whether a treatment is right for someone. Those go to your licensed staff.
  • Upset callers and complaints, so a person can make it right.
  • Anything unusual or anything it is not sure about, with a note so someone calls back.
  • Anything you tell us you want a person to handle. You set the rules.

Your booking software

It works around the software you already use.

Appointment businesses in Houston commonly use booking software such as Vagaro, Boulevard, Mindbody or Zenoti. We are not partners with any of them, and naming them is not a promise that a connection exists.

What an AI receptionist can do with your booking software depends on what that software lets other tools do, and that differs by product and by plan. We check your software's options in discovery, before promising anything.

Where a direct connection is possible, it can see open slots and book them. Where it is not, it takes the details and sends your team a request to confirm. Either way, you keep the booking software you already use.

For health practices: patient privacy

Patient details deserve care. For health practices we design around privacy rules such as HIPAA: we keep health information out of tools that should not hold it, collect only what a step needs, and choose vendors that will sign a business associate agreement (BAA) where one is required. Whether a rule applies to your practice, and your compliance overall, stays yours to confirm with your own advisor.

This is a description of how we design the work, not legal advice.

Who it is for

Built for Houston businesses that run on appointments.

Other kinds of business are welcome too. A missed call costs a law firm or a contractor just as much.

How it starts

Start with one pilot, priced to your scope.

Most owners start with a Pilot Project: one receptionist set up for your business and measured for a few weeks in your own numbers, such as calls answered and bookings made. If it earns its keep, it stays running with Monthly Support. The scope and a fixed price are agreed in writing before any work starts.

Where do we work?

We work with businesses across Houston. We meet in person across northwest Houston, and by video call anywhere else. There is no storefront to visit.

In person covers Cypress, Jersey Village, Tomball, Spring, Klein, Champions, Copperfield, Magnolia, Hockley and Waller, plus the FM 1960 area.

Common questions

Questions owners ask about an AI receptionist.

Will callers know they are talking to an AI?

We recommend it says so plainly at the start of a call, and you approve the exact wording. Callers who would rather talk to a person can leave a message for a call back.

Can it book appointments in my booking software?

Where your booking software allows another tool to connect, yes: it can see open slots and book them. Not every system allows that, and not in the same way, so we check what yours allows during discovery. Where it cannot connect, it takes the details and sends your team a request to confirm.

What happens with medical questions?

They go to your licensed staff. The receptionist does not give medical advice or say whether a treatment is right for someone. It takes the question and the caller's details so the right person can call back.

Will this replace my front desk?

No. It takes the repetitive load off your front desk, such as after-hours calls, missed calls and common questions, so your team spends its time on the clients in front of them.

How much does it cost?

It is priced to your scope. After a short conversation we send a written quote with a fixed price, so you know the cost before any work starts. Ongoing costs, such as phone and software fees, are set out up front.
