Specialty health practices in Houston
Front desk call answering for Houston dental, chiropractic and specialty practices.
A specialty practice lives on its schedule. Every unanswered call, missed recall and no-show is a gap your front desk has to fill. We work out where your practice is losing time and patients, then build the systems that answer, book, remind and follow up, designed around patient privacy from the start.

Where it hurts today
Where do specialty practices lose patients and time?
At the front desk and between visits: unanswered calls, no-shows, recalls and plans of care that slip, and consults that never turn into treatment. Paper intake and the same questions all day add to the load.
Calls that go unanswered
Phones ring during check-in, check-out and lunch. New patients who reach voicemail often book somewhere else.
No-shows and gaps in the schedule
A missed visit leaves a gap that is hard to fill at short notice, and a single reminder does not always prevent it.
Recalls and plans of care that slip
Recall visits, adjustment schedules and therapy plans only work if patients keep coming. Without steady prompts, many stop partway.
Consults that do not turn into treatment
Cosmetic, orthodontic, surgical and weight loss consults need a clear follow-up. Without one, interested patients take months to decide, or never do.
Intake paperwork at the front desk
Forms on clipboards slow the waiting room and have to be entered again by hand.
The same questions all day
Hours, directions, parking, what to bring and whether you take a plan: your team answers them one call at a time.

What we can build
What can be automated at a dental, chiropractic or specialty practice?
Call and message answering with clear limits, reminders and recalls, consult follow-up, digital intake, review requests and front-desk reporting. Everything is designed around patient privacy and built around your practice software where it allows a connection.
An AI receptionist with clear limits
Answers calls and messages, covers everyday questions with answers you approve, takes details, and books where your practice software allows. Clinical and insurance specifics go to your staff; urgent calls follow your own instructions.
Reminders, recalls and plan-of-care prompts
Appointment confirmations and reminders, recall notices, and prompts that keep patients on their plan of care.
Consult and treatment-plan follow-up
A planned series of messages after a consult that answers common concerns and makes it easy to schedule the next step.
Digital intake before the visit
Forms completed online before the appointment, designed so health details go only where they are allowed to go.
Review requests
A polite request for a review after a good visit, written so it never includes health details in public.
Front-desk reporting
A plain view of calls answered, new patients booked, no-shows and recall rates, so you can see where the schedule leaks.

How is patient privacy handled?
Patient details deserve care. We design around privacy rules such as HIPAA: we keep health information out of tools that should not hold it, collect only what a step needs, and choose vendors that will sign a business associate agreement where one is required. Whether a rule applies to your practice, and your compliance overall, stays yours to confirm with your own advisor.
How it starts
How do you get started?
With a short conversation about how your business runs today. Most engagements then begin with a Business Readiness Assessment or a Pilot Project on one problem, and what works is kept running with Monthly Support. Each package has a fixed scope and price agreed in writing before any work starts.
Where do we work?
We work with businesses across Houston. We meet in person across northwest Houston, and by video call anywhere else. There is no storefront to visit.
In person covers Cypress, Jersey Village, Tomball, Spring, Klein, Champions, Copperfield, Magnolia, Hockley and Waller, plus the FM 1960 area.
Common questions
Questions practice owners ask us.
Is this HIPAA compliant?
We design the systems around HIPAA and similar privacy rules, keep health information out of tools that should not hold it, and use vendors that will sign a business associate agreement where one is required. We do not give legal advice: whether your setup is compliant stays yours to confirm with your own advisor.
Will it work with our practice management software?
Some practice systems allow other tools to connect to the schedule and some do not. We check yours before promising anything. Where a direct connection is not possible, we can still handle calls, messages and follow-up and pass bookings to your team.
Can the AI receptionist answer insurance or clinical questions?
Only with the general answers you approve, such as which plans you accept. Anything specific to a patient's coverage or care goes to your staff.
What happens with after-hours and urgent calls?
After hours it can answer routine questions, take messages and book where allowed. For anything that sounds urgent it follows your instructions, such as giving your on-call number or telling the caller to seek emergency care.
