Does your booking software work with an AI receptionist?

How to find out whether your booking system can connect to an AI receptionist, what a connection really means, and what to do if it cannot connect.

By Ikaevo

When owners ask us about an AI receptionist, one of the first questions is “Will it work with my booking software?” It is the right question to ask. The honest answer is: it depends on your software, and on what you mean by “work with.” Here is how to find out, what to ask your vendor, and what to do if the answer is no.

What “works with” can actually mean

People use the phrase to mean very different things. It helps to think of it in three levels:

  1. It sees open slots and books directly. The AI receptionist can check your calendar, offer the caller a real time, and put the appointment into your booking system. This is the most useful level, and it depends entirely on what your software allows.
  2. It sends a booking request to your staff. The AI collects the caller’s name, number, the service they want, and the times that suit them. Your team confirms the booking. The client still gets a fast, friendly first answer.
  3. It takes a message. The AI answers the call, answers common questions you have approved, and passes along the details so someone can call back.

All three can be useful. A clear message sent to the right person is far better than a missed call. But you should know which level you are getting before you decide.

How to check your own software

You do not need to be technical to find out. Your booking software vendor can answer most of this, usually through their support team or help pages. Here is what to ask:

  • Does it have an API or supported integrations? An API is simply a way for other tools to talk to your booking system. Some vendors instead offer a list of approved partner tools.
  • Which plan level includes it? Sometimes outside connections are only available on a higher plan. Ask before you assume.
  • Does it allow creating appointments, or only reading them? Some systems let an outside tool see your calendar but not book into it.
  • Can it respect your rules? Such as which services can be booked by an outside tool, buffer time, and which provider does what.
  • Will it sign a business associate agreement (BAA) if health information is involved? This matters for dental, chiropractic, physical therapy, and many med spas.

A few more questions worth asking

Once you know a connection is possible, a few practical questions help avoid surprises later:

  • Is there an extra monthly fee for using the connection?
  • Can bookings made this way be marked, so your team can spot them?
  • What happens if the connection stops working for a day?
  • Can deposits or card holds be required for bookings made this way?

Write the answers down. Vendors change their plans and features, so it is worth having a record of what they told you and when.

If the answers are unclear, that is normal. Support teams do not always know the details of every plan. Ask them to point you to the page that lists their integrations, or to put the answer in an email. You can forward that to us, and we will read it with you. A short written answer is much more useful than a quick “yes, probably” on the phone.

What to do if it cannot connect

If your software cannot connect, you still have good options. An AI receptionist can work at the second or third level described above:

  • Collect the details and send them to staff. The caller gets an answer right away, and your team gets a clear summary by text or email to confirm the booking.
  • Text a booking link. If your software has online booking, the AI can send the caller your link so they can pick a time themselves.
  • Arrange a call back at a time the caller chose, for anything that needs a person.

In all cases, the AI should be open that it is an AI assistant, and it should hand off to a person whenever the caller asks. In a health practice or a med spa, any clinical question goes to licensed staff, never to the AI.

Do not switch software just for this

Changing booking software is a big job. Your client history, your packages, your team’s habits, and your reports all live there. Switching just to connect an AI receptionist is rarely worth it on its own. If you were already unhappy with your software for other reasons, a better connection might be one more point in favor of a change. But that is a separate decision, and not one to rush.

Most of the value of an AI receptionist comes from answering the call at all, quickly and politely, and capturing the details. Direct booking is a nice extra when your software supports it.

How we handle this

Before we recommend anything, we look at your actual software, your plan, and how your team books today. We tell you which level is realistic and what it would take. If direct booking is not possible, we say so plainly and suggest the workaround that fits. This applies whether you run a med spa or a salon or beauty studio.

How to start
