Missed calls at your salon: what to do about them

Why salons miss so many calls, what those callers do next, and the practical fixes, from simple habits to an AI receptionist, in the order worth trying.

By Ikaevo

Every salon owner knows the sound of a phone ringing while their hands are full of foils, polish, or lash glue. You cannot stop mid service, so the call goes unanswered. One missed call is no big deal. A steady stream of them, week after week, can quietly cost you new clients. The good news is that most of the fixes are simple, and several cost little or nothing. Here is what to do, in the order we would do it.

Why salons miss calls

The reason is almost always the same: the people who could answer the phone are busy doing the work that pays the bills. A stylist in the middle of a color cannot walk away. A nail tech cannot pick up with wet polish on a client’s hands. In a small studio there may be no front desk at all, or one person covering the desk, the register, and the shampoo bowl.

Calls also bunch up at the busiest times of day, which are the exact times you are least able to answer. And some come in after you close, when clients finally have a quiet moment to think about their next appointment.

What callers often do next

Think about how you behave when you call a business and nobody picks up. Many people will not leave a voicemail. Some will try again later. Plenty will simply call the next salon on the list, especially if they are new and have no loyalty to you yet. That is not a statistic, just common sense, and you probably do it yourself.

Your regulars will usually wait for you. It is the new callers, the ones who found you on Google or through a friend, who are most likely to move on. Those are also the clients you worked hardest to attract.

The fixes, in order

Start at the top of this list. Each step is simpler and cheaper than the one after it, and you may find the first few solve most of the problem.

  1. Look at when you miss calls. Your phone provider can usually show a call log. Spend ten minutes looking at two weeks of it. Which days and hours have the most missed calls? Are they during service, at lunch, or after closing? You cannot fix a pattern you have not seen.
  2. Set up a text-back for missed calls. Many phone systems and booking tools can send an automatic text when a call is missed, something like “Sorry we missed you, we are with a client. Reply here or book online at this link.” Many people would rather text than leave a voicemail anyway.
  3. Fix your voicemail greeting. Keep it short and warm. Say your name, say you are with a client, say when you will call back, and mention that they can book online. Put the booking link in your text-back so they do not have to write anything down.
  4. Set callback windows. Pick two or three times a day, such as mid morning, after lunch, and before closing, when someone returns every missed call and message. A callback within a couple of hours feels very different from a callback tomorrow.
  5. Look at front desk coverage. If your log shows a clear rush, a part-time person at the desk during those hours may pay for itself. Sometimes shifting one person’s schedule is enough.
  6. Then consider an AI receptionist. If calls are still slipping through, an AI receptionist can answer calls and texts when nobody else can.

What an AI receptionist adds

An AI receptionist picks up the calls your team cannot. It answers common questions with answers you have approved, such as hours, parking, services, and how long a visit takes. It takes the caller’s name and what they want, and it can book an open slot where your booking system allows an outside tool to do that. Not every system does, so we check yours first.

It should always be open that it is an AI assistant, and it should hand the caller to a person, or arrange a call back, whenever they ask or the question is beyond it. You hear it and test it before any client does.

It is not the right first step for every salon. If the simple fixes above catch most of your missed calls, you may not need it at all.

How to measure before and after

Whatever you change, measure it. Otherwise you are guessing. Before you change anything, write down a few numbers for a normal two-week period:

  • How many calls came in, and how many were missed.
  • How many missed callers you reached on a call back.
  • How many new clients booked in that period.

Then make one change and check the same numbers for the next two weeks. Change one thing at a time so you know what worked. Keep it simple: a notebook or a basic spreadsheet is fine.

If you want a sense of the money involved, here is an illustrative example, not a benchmark: if you miss 6 calls a week from new callers, and 1 in 3 of them would have booked a 90 dollar service, that is 180 dollars a week, before counting their return visits. Your own numbers are what matter, so use those.
