Home health, labs and medical billing
Back-office systems for home health agencies, labs and medical billing firms.
In home health, labs and billing, the admin grows faster than the staff. Referrals arrive by fax, intake gets retyped, visits get rescheduled by phone, prior authorizations wait, and claim follow-up never ends. We work out where your organization loses the most time and money behind the scenes, then build the systems that ease the load, designed around patient privacy from the start. We meet in person across northwest Houston, and by video call anywhere else.

Where it hurts today
Where do home health agencies, labs and billing firms lose time and money?
In the back office around care: referrals and intake handled by hand, visit schedules rebuilt by phone, prior authorizations and claims that need chasing, and reports pulled together at month end. None of it is care, and all of it takes staff time.
Referrals and intake by fax and phone
Referrals arrive in many forms and get retyped, and one missing detail means another call.
Visit and pickup schedules rebuilt by phone
Home visits, specimen pickups and staff routes change daily, and every change means another round of calls.
Authorizations and claims that stall
Staff track down paperwork, resubmit claims and follow up with payers, often by hand.
Patients and families waiting on answers
Calls about visit times, results status, bills and forms pile up for an office team that is already stretched.
Shifts and credentials tracked in spreadsheets
Keeping shifts covered and licenses current depends on spreadsheets and memory.
Reports built by hand
Month-end numbers for owners and payers are pulled together by hand from several systems.

What we can build
What can a consultant build for a home health, lab or billing business?
Systems for the back office: referral and intake handling, visit and pickup scheduling, claim and authorization follow-up lists, answers to routine questions, and plain reporting. Clinical judgment stays with your staff, and every step is designed around privacy rules such as HIPAA.
Intake and referrals in one place
Forms completed online before the visit and referrals gathered in one list, so details are typed once.
Visits and pickups confirmed
Visit and pickup confirmations by text and email with an easy confirm or reschedule link, so fewer trips are wasted.
Claims and authorizations tracked
A clear list of what is pending, what is missing and what needs a follow-up, so nothing sits unnoticed.
Routine questions answered
Answers to everyday questions about visit times, forms and bills, with anything clinical passed to your staff.
Shifts and credentials kept current
Reminders before licenses and certifications expire, and a simple view of open shifts.
Plain monthly reporting
Visits, claims and collections in one plain report, for a person to check.
How an engagement works
How does working with us work?
Three steps, in order: Find, Prove, Scale. It starts with a short conversation, and each package has a fixed scope and price agreed in writing before any work starts. You own what we build for you once it is paid for.
1. Find
We look at how a referral, order or claim moves through your organization, from first contact to paid claim, and give you a written list of where time and money slip away.
2. Prove
We set up one non-clinical fix, such as digital intake or claim follow-up, and measure it on your own numbers for a few weeks. You only go further if it earns it.
3. Scale
What works is rolled out across the organization, with privacy and access controls set to the rules you work under, and your staff are shown how to run it. Monthly Support keeps it working after that.

Common questions
Questions home health, lab and billing owners ask us.
How much does a healthcare back-office consultant cost?
There is no single price, because it depends on the scope. After a short conversation you get a written quote with a fixed scope and price for your organization, and nothing starts until you agree to it. Most start small, with a Readiness Assessment or a Pilot Project on one problem, so the first step is a modest one.
What about HIPAA and patient privacy?
We design around HIPAA and similar privacy rules: health information stays out of tools that should not hold it, each step collects only what it needs, and we use vendors that will sign a business associate agreement where one is required. We do not give legal advice: your compliance stays yours to confirm with your own advisor.
Will it work with our EHR or practice management system?
Often, yes. Many EHR and practice management systems let other tools connect, but not all of them do, and not in the same way. We check what yours allows before promising anything. If it cannot connect, we tell you and suggest the simplest workaround.
Do you do anything clinical?
No. We work on the admin around care: intake, scheduling, billing follow-up, routine questions and reporting. Clinical questions and decisions stay with your licensed staff.
Do you work with clinics and dental or chiropractic practices too?
Yes. Patient-facing practices such as dental, orthodontic, chiropractic and physical therapy have their own page, because their needs center on the front desk: calls, booking and reminders. Look for specialty health practices under Industries.

A short conversation is enough to see which fix is worth doing first. You get a straight answer from the person who would build it, and a written quote before anything starts.
